Tips for Using NMS Interview in Phase II

Internship sites can use NMS Interview to schedule interviews in Phase II, whether or not they used the module in Phase I. Below are some key recommendations for making the most of NMS Interview in Phase II.

For Internship Sites

Before setting up your Phase II interviews, we recommend printing or exporting a copy of your itinerary from Phase I for your records.

1. Consider setting up new interview type(s) for Phase II
If feasible, create new Interview Type(s) specifically for Phase II. This is particularly useful for sites that plan to re-interview candidates, as it improves organization and simplifies importing candidates into your Phase II Rank Order List(s).

2. Create events for Phase II interviews
Add new interview events with appropriate dates and times for your Phase II interviews.

3. Organize your candidates with Group assignments
You can assign a Group to one or more candidates on your Candidate List. You can use groups to distinguish Phase I candidates from your Phase II candidates. If your site used NMS Interview in Phase I, we recommend:

  • Assigning all Phase I candidates to a designated group (e.g., "Phase1") to keep them separate from Phase II candidates.
  • Creating new group names for Phase II candidates (e.g., "Phase2", "Phase2-Track1", "Phase2-Track2").

This approach makes it easier to filter and manage candidates within the system.

4. Notify candidates of your invitation date
Email candidates in advance to let them know when interview invitations will be sent. Candidates appreciate knowing the date and approximate time, as it helps ensure a fair and equitable scheduling process.

5. Send interview invitations to candidates
Send your interview invitations and candidates will self-schedule into available timeslots. You can also update an event after it is scheduled and notify your candidates of any changes.

Important: Candidates can only schedule interviews for events that exist at the time their invitation is sent. If you plan to re-interview a candidate from Phase I, be sure to send them a new invitation.

Alternative Option: Delete Phase I Interview Data
If you prefer to start fresh, you have the option to delete all Phase I interview data from the Interview Settings page. This action will permanently delete all candidates, events, records on the message log, invitations, and scheduled interviews. However, Interview Types will remain intact.

Caution: This action is irreversible. If you choose to proceed, be sure to export any necessary records in advance. Additionally, notify your Phase I candidates, as their interview data with your program —including scheduled interviews —will be permanently removed from the system.

For Applicants

1. Confirm your interview details online
Log into the NMS Match System before your interview(s) to review event details. The most up-to-date information—including meeting links (e.g., Zoom, Teams), locations, and instructions—is always available in the system.

2. Filter your schedule
Use the Filter button in the Interview Calendar to control which events are displayed. You can streamline your calendar by selecting the option to view only scheduled interviews, helping you focus on upcoming events without unnecessary distractions.

3. Be aware of Phase I interview data deletion by programs
If you scheduled interviews using NMS Interview in Phase I, you can print a copy of your itinerary from Phase I for your records. If a program chooses to delete its Phase I interview data, your interview with that program will be permanently removed from the NMS Match System.

Ranking Guidance For Federal Grant-Funded Internships and Federal Hiring Freeze

Due to recent Executive Orders, there is some uncertainty about whether or not psychology internships with the Bureau of Prisons (BoP) and those that receive any type of grant funding from federal programs (e.g., HRSA, GPE, BHWET) will be able to offer positions in the APPIC Match for the 2025-2026 training year.

As a result of this uncertainty, APPIC is providing the following guidance to affected internships and applicants considering those internships.

  • For Internships Supported by Federal Grant Money: If federal funding remains uncertain, these programs should be withdrawn from Phase I of the Match in the NMS Match System unless the parent institution has made a firm commitment that it will support the positions for the 2025-2026 training year from other sources of funding (e.g., the institution's own budget) if federal funding does not come through.
  • For Internships at the Bureau of Prisons (BoP): Training Directors should submit their Rank Order Lists in the NMS Match System by the Phase I Rank Order List deadline. Those programs will remain in the Match only if APPIC can confirm that funding is assured. If APPIC does not receive notice that BoP programs are exempt from a federal hiring freeze, APPIC will remove these programs from Phase I of the Match before the matching process is conducted.
  • For All Applicants Considering Affected Internships: Applicants should enter and certify their Rank Order Lists in the NMS Match system as if all programs are exempt from the hiring freeze or withholding of grants and are available to be filled. This allows as much time as possible for a decision to be made regarding the exemption status of positions. If positive news is received about the positions at the last minute, your rankings are already in the system and ready to use for matching purposes. If positive news is not received, the program will be withdrawn before the Match is processed and your list will be processed by the matching algorithm as if you had never ranked the withdrawn program.

Questions about an individual internship program's participation in the Match should be directed to that program's Training Director. Questions about the information in this article may be directed to the APPIC Match Coordinator, Dr. Greg Keilin, at 512-410-0002 or gkeilin@gmail.com.

Ranking Strategy and Best Practices

We want to remind you of several best practices that you should use when submitting a Rank Order List for the Match:

Rank All Acceptable Choices
You may rank as many choices as you wish. By submitting a longer list of choices, you may reduce the likelihood of being left without a match. Adding more choices to your list does not jeopardize the chance of matching with your most preferred choices.

Rank Your Choices According To Your True Preference
Don't consider how highly an applicant or program might rank you when ordering the choices on your Rank Order List. Using any strategy other than ranking according to your true preference may lead to a worse result for you.

Do Not Rank Any Choice That Is Unacceptable
Applicants can only be matched with programs that are on their Rank Order List. Programs can only be matched with applicants that are on their Rank Order List. Do not rank any applicant or program that you would not want to match with under any circumstances.

Features

Add and Manage Account Users

Training Directors can add new secondary users to their accounts in the NMS Match System.

Secondary users will have restricted permissions in the NMS Match System. They have read-only access to the training site and program information (e.g., participation status, positions offered, profile information, results, etc.), full access to interview information, but no access to rankings information. They will also be copied on relevant emails sent to the Training Director from the NMS Match System (e.g., confirmations, reminders, etc.). Secondary users can be removed from the system by the Training Director at any time.

This new feature is particularly useful for Training Directors who want to:

  • Have a coordinator or assistant create and manage the training site’s interview schedule
  • Keep other people informed of communications and the training site’s status in the Match.

Training Directors can log in to the NMS Match System and add new users from the Account section.

New Features in NMS Interview

NMS Interview is an online interview scheduling module integrated into the NMS Match System that provides an easy and automated way for training sites and applicants to schedule their interviews.

While internship programs are not required to use NMS Interview, the APPIC Board strongly recommends its use (including by programs that have used another scheduling system in the past) as it is integrated into the NMS Match System and provides efficiencies for both programs and applicants. The benefits to applicants increase as more programs use a single system for interview scheduling.

Updates for the 2025 Match

We have added several enhancements to NMS Interview this year.

Enhanced Filtering - New filtering capabilities have been added to the interview calendar, event list, and interview itinerary to make it easier for sites with multiple interview types to identify and manage their events.

Interview filter example

Interview Schedule Export - Programs can export their full interview schedule into a CSV file which can be opened in Microsoft Excel or imported to a personal calendar.

Interview export CSV example

Simplified Schedule Creation - Programs can now schedule back-to-back interviews in one action. Simply select the start and end times for the desired time block and select the duration for each event. You can also add a break or buffer time between each event if desired.

Interview time blocking example

Faster Group Assignment - Programs can select multiple candidates and assign them all to a selected group in one action.

Interview set group example

Standardized Lockout Time - Lockout times have been standardized to 11:59 p.m. Eastern Time on the date selected by the program.

More Detailed Digest Emails - The daily digest email informing programs of changes to their interview schedule has been enhanced to provide more information about the schedule update.

Simplified Management of Phase II Interviews - Programs participating in Phase II will have the option to delete/clear out all of their Phase I interview data prior to scheduling interviews for Phase II.

Enhanced User Interface - We made a number of improvements to simplify the navigation and management of information for candidates and events.
