It is the responsibility of the Director of Clinical Training (DCT) of each doctoral program to ensure the eligibility of their students registered to participate in the Match, and the accuracy of the information provided to the Match by students from their program.
When students register for the Match, each student must identify their doctoral program. The List of Registered Students provides information on those students who have indicated they are from your doctoral program.
Review the list to confirm that each student shown on the list is from your doctoral program and is eligible to participate in the Match, and that the list includes all students from your program who you expect to register for the Match.
If no corrections to the list are required, you do not need to contact NMS to confirm that the list is correct. If corrections are necessary, please follow the instructions below for Making Corrections to the List.
It is particularly important that you review a current list of students from your doctoral program immediately following the Rank Order List deadline for each Phase of the Match.
Access the List
Log in to the NMS Match System to access the List of Registered Students from your doctoral program.
In December, DCTs are sent personalized login credentials and instructions for accessing the NMS Match System. If you do not receive your login credentials by December 15, please contact NMS.
Contents of the List
This list displays students who have registered to participate in the Match and who have indicated that they are from your doctoral program. This list is updated in real-time, as students register for the Match and/or update their information.
Students may register for the Match until the deadline date for submission of Rank Order Lists for Phase I of the Match (February 7, 2018). Students will not be able to register to participate in either Phase of the Match after February 7, 2018.
Description of Contents
Only students who are enrolled in your specific doctoral program, and not any other doctoral program at your school or university, should be on the list.
If any student from your program has indicated that they are respecializing (i.e., already has a doctoral degree in psychology and is now respecializing in a different area of psychology), that information is shown for the student.
Students who registered to participate in the Match but who have subsequently withdrawn are included in the list of registered students, but are shown in the list as "Withdrawn". Please note that withdrawn students can change their status and decide to participate in the Match at any time until the Rank Order List deadline for each Phase of the Match. If you have any questions concerning the status of a student in the Match, you should contact the student directly.
Making Corrections to the List
In most cases, students should be instructed to make corrections themselves, using the NMS Match System. You can then verify the necessary correction has been made by viewing an updated list of students from your program in the NMS Match System. Instructions for specific cases are provided below.
Student Not From Your Program
If any students on the list is not from your doctoral program, cross the students off the list and indicate "NOT AT THIS PROGRAM". This includes any students who may be enrolled in another doctoral program in psychology at your school or university, but not in your specific APPIC DPA program. Write in any additional information you may have to help us identify the correct doctoral program for the students, such as the student's school or university, program type, degree, DCT of the program, etc. If there are any corrections of this nature to be made, return the corrected list directly to NMS as soon as possible, either as a scanned e-mail attachment sent to email@example.com or by fax to 844-977-0555. In addition, if you know and can contact the student, you should instruct the student to correct their doctoral program information in the NMS Match System.
If any student on the list is from your doctoral program but will not be eligible to participate in the Match, you must contact that student directly and ensure that the student withdraws from the Match using the NMS Match System. Students who have registered for the Match cannot be de-registered. Students must withdraw themselves from the Match; do not cross off the student from the list or contact NMS to request that a student be withdrawn.
You can verify that the student has withdrawn from the Match by re-checking the status of the student on the online list. Please note, however, that students can change their withdrawn status for each Phase of the Match at any time until the Rank Order List deadline for that Phase of the Match (Phase I - February 7, 2018, Phase II - March 19, 2018). Therefore, if any registered student from your program is not eligible to participate in the Match you should check the status of the student again on the list on February 8, 2018 and March 20, 2018 (i.e., after the Rank Order List deadline for each Phase of the Match) to verify that the ineligible student is withdrawn from the Match. You should notify NMS of an ineligible student only if the student is still active after the Rank Order List deadline.
Incorrect Names or Respecialization Status
If the respecializing status of a student is not shown correctly on the list (i.e., shown for a student who is not respecializing, or not shown for a student who is respecializing), you should instruct the student to correct this information in the NMS Match System.
Do not notify NMS about name changes, such as married names, as the names listed are those provided to us directly by the student.
Students from your program who you think should be registered for the Match but who are not included in the list could be missing for two reasons:
Student is Registered But Not Shown On Your List
This student has not correctly identified your program. Instruct the student to correct the doctoral program information themselves directly in the NMS Match System. In addition, you should obtain from the student the applicant Code Number assigned to the student by NMS (this Code Number will confirm that the student has registered for the Match), then add the student's name and applicant Code Number to the list of students for your program and send the corrected list to NMS, either by fax or as a scanned e-mail attachment to firstname.lastname@example.org.
Student is Not Yet Registered for the Match
Contact the student and encourage the them to register as soon as possible. Students register online using the NMS Match System. Do not inform NMS about students who will register for the Match but have not yet done so; the students must register themselves for the Match. Although the information on the Match web site indicates that students should register by December 1, 2017, NMS will continue to accept student registrations until February 7, 2018 if necessary. Students will not be able to register to participate in either Phase of the Match after February 7, 2018.
Late Student Registration
Any student who registers for the Match after December 31, 2017 must have their DCT authorize the registration before it can be accepted by NMS. This procedure will help to ensure that late registrants are in fact eligible to participate in the Match. Students registering after December 31 should still initiate their registration in the NMS Match System; however, the student will not be able to complete the registration online. After the student has provided the necessary information and accepted the Applicant Agreement online, a registration form and instructions will be provided to the student for completing the registration for the Match.
The student must obtain a statement signed by their DCT certifying that the student is eligible for an internship beginning in 2018 and authorizing NMS to register the student for the Match. You can provide this authorization for a student by signing the form provided to the student, which must be submitted to NMS to register for the Match. If it is not convenient for you to sign the student's registration form, you can send a letter to NMS identifying the student and authorizing the student's registration for the Match. The letter must be on your program's letterhead, and must be signed and dated by the DCT. Registration forms or authorization letters can be sent to NMS as a scanned e-mail attachment sent to email@example.com or by fax to 844-977-0555.
Note: After December 31, NMS will not register any student for the Match without written authorization from the student's DCT. Furthermore, students will not be able to register for the Match after February 7, 2018, even with the DCT's authorization.
