NMS | The Extern Match Privacy

Introduction

National Matching Services Inc. ("NMS", "we", "us", "our") provides application and matching services for the Northeastern Regional Externship Match for externship positions ("Extern Match" or "the Match").

The Extern Match collects and distributes application information and places applicants into psychology externship positions. Extern Match participants include programs offering positions in the Match, applicants seeking positions, reference writers, and representatives from colleges of podiatric medicine.

The Extern Match websites (natmatch.com/extern, externh.matchprogram.org), including all pages, sub-pages, and successor pages (collectively referred to as the "Website"), provide information about the Extern Match and tools for participants to access, view, and manage the information they submit to the Extern Match.

To the extent permissible by law, your use of the Extern Match websites signifies your agreement and consent for NMS to collect, use, disclose, and otherwise manage your information as set out in the Privacy Policy (natmatch.com/terms/privacy.html) and this Match-specific Privacy Notice. You also agree to the Website Terms of Use described in detail at natmatch.com/terms/tou.html.

Sponsoring Organization

The Extern Match is sponsored and supervised by NYNJADOT and PENDELDOT, herein referred to as the "Sponsoring Organization(s)" of the Match.

NMS administers the Match and processes your information on behalf of the Sponsoring Organization(s).

Collection of Your Information

If you access the Extern Match website, register or set up an account, or use the Extern Match website as a registered participant, NMS will collect information directly from you. NMS may also collect information about you from the Sponsoring Organization or other organizations involved in the Extern Match, as approved by the Sponsoring Organization. The information collected is used to administer and support the Extern Match.

For sites, information collected by NMS includes, but is not limited to: IP address and times of visits to the Extern Match website; program name; code number; password; security questions and answers; address; primary contact name; phone number; fax number; email address; information about the site, tracks, and positions offered; reason for withdrawal, if any; names, phone numbers, and emails of program personnel, if any; application information for applicants who applied to the site; dates applications were submitted, received, and distributed; evaluations, ratings, tags, and comments of applicants and applications; interview events, dates, invitations, rejections, and schedules; Rank Order List(s), dates of entry, updates, and certification; information on applicants matched to the site; and logs of actions taken on the Website.
For applicants, information collected by NMS includes, but is not limited to: IP address and times of visits to the Match website; name; code number; password; security questions and answers; address; phone numbers; email address; date of birth; academic program and number of years in that program; CVs, personal statements, photos, and other documents uploaded by or on behalf of the applicant; contact information of chosen reference writers, labels assigned to reference letters, and uploaded reference letters; list of sites selected for applications; ratings, tags, and comments on submitted applications; application submission dates; interview invitations, rejections, bookings, and schedules; Rank Order List, date of entry, updates, and certification; site and track matched (if any); payment information; and logs of actions taken on the Website.
For academic programs, information collected by NMS includes, but is not limited to: IP address and times of visits to the Match website; name of school, department, and degree; contact information for the academic program representative; password; security questions and answers; information on applicants from the academic program; results obtained by each applicant; and logs of actions taken on the Website.
For reference writers, information collected by NMS includes, but is not limited to: IP address and times of visits to the Extern Match website; name; password; security questions and answers; email address; list of applicants requesting reference letters; any documents uploaded to the system; and logs of actions taken on the Website.
NMS may survey Extern Match participants. If you agree to complete a survey, your responses will be collected.
When you call or email NMS with a comment or question, we collect that information to enable us to respond and to monitor or improve our services. We may request additional information to properly address your inquiry.
NMS may occasionally request optional information that you are not required to provide but may choose to share. For example, we may ask for information to uniquely identify you as an Extern Match participant.

It is your responsibility to ensure that the information you provide is truthful, complete, and correct. NMS and the Sponsoring Organization reserve the right to verify any information provided as part of your participation in the Extern Match. If any information is found to be false or misleading, or if you conceal or withhold requested information, your participation may be denied and/or your Extern Match result may be revoked. Determinations regarding false or withheld information may be shared with Match participants and/or other interested parties.

Use of Your Information

Your information may be used in the following ways:

NMS uses your information to identify you as a unique Extern Match participant, verify payments, assemble and distribute applications and related information, schedule interviews, collect and confirm ranking information, process withdrawals, execute the matching process, report results, communicate with you by email or phone, and provide support.
Your information may be used by NMS, the Sponsoring Organization, or a third party authorized by the Sponsoring Organization to create aggregate, non-personally identifiable statistics for public, research, performance, policy, or development purposes.
NMS may use your information to resolve issues related to the accuracy, quality, security, or performance of the Match.
NMS may survey Extern Match participants. Your contact information may be used to notify you about the survey. If you participate, your information is used only to process responses.

Disclosure of Your Information

Your information may be disclosed in the following ways:

NMS may disclose all of your information to the Sponsoring Organization. The Sponsoring Organization may use or share this information for research, marketing, commercial, or other authorized purposes, whether conducted by the Sponsoring Organization or a third party it authorizes.
NMS may disclose aggregate statistics for use by the public, the Sponsoring Organization, and Extern Match participants for performance, policy, development, and research purposes.
NMS may disclose site information on publicly accessible sections of the Extern Match website.
NMS may disclose to applicants site information including name, contact information, and externship site and track offerings.
NMS may disclose to sites applicant information including name, code number, email, participation status, academic program, years in program, application information, reference details, interview scheduling information, match results, and information on unmatched applicants and available positions.
NMS may disclose to applicants the site and track to which they have been matched.
NMS may disclose on publicly accessible sections of the website contact and program information for sites with unfilled positions after the Match.
NMS will disclose to academic programs the names, code numbers, years in program, and email addresses of applicants from that academic program; applicant participation status; application and interview activity; rankings; Rank Order List status; aggregate outcome statistics; and Match results for each applicant.
NMS may disclose your information to third parties at the request of the Sponsoring Organization.
NMS may disclose your information to regulatory authorities, law enforcement, or other entities as authorized or required by law.
NMS reserves the right to disclose your information to interested parties, at our discretion, if deemed necessary to support or administer the Extern Match.
