Applicant NMS Match System Guide

The 2018 APPIC Match


Log In

  • Access the Online NMS Match System

    You can access the NMS Match System by selecting the Log In option in the menu button in the top-right corner of the screen.

    To log in to the NMS Match System you will need to enter both the e-mail address and password that you previously set up in the system (e.g., when you registered for the Match).

  • Forgot Password?

    If you do not recall your password, please use the Forgot Password? link provided on the NMS Match System login page and follow the instructions to reset your password.

Dashboard Information

After you log in to the NMS Match System you are presented with a Dashboard. The Dashboard shows your current Participation Status in the Match, your Couple Status and Rankings Status.

  • Change Your Participation Status

    The Status section shows your participation status in the Match. All registered applicants have a status of Active when they register.

    If you do not intend to enter a Rank Order List for Phase II of the Match, you must withdraw from the Match prior to the Rank Order List deadline. If you withdraw, but later decide to enter a Rank Order List for the Match, you should reinstate yourself to participate in the Match prior to the Rank Order List deadline.

    To withdraw from the Match:

    • Select the Edit button in the Status section of the Dashboard.
    • Indicate the Phase(s) of the Match from which you are withdrawing.
    • Enter your password and press Submit.

    To reinstate yourself in the Match:

    • Select the Edit button in the Status section of the Dashboard.
    • Follow the instructions provided on the screen to complete the reinstatement process.

    Note: If you withdraw from both Phase I and Phase II of the Match prior to the Phase I Rank Order List deadline, you will be automatically withdrawn from Phase II and will not need to withdraw again when the system opens for Phase II (you may reinstate yourself for Phase II if you wish to submit ranks for Phase II).

    If you withdraw only from Phase I, you will be automatically reinstated for Phase II, and must either submit a Rank Order List for Phase II or withdraw again for Phase II if you do not intend to submit any rankings for Phase II.

  • Couple Status

    All registered applicants start with a Couple Status of INDIVIDUAL. If you want to participate in the Match as part of a couple, you must change your Couple Status to COUPLED by identifying your partner.

    • Select the Edit button in the Couple Status section of the Dashboard.
    • Enter your partner's Match Code Number and press Submit.
    • Once submitted you will be asked to confirm that you wish to be partnered with the applicant registered with the Match Code Number that you have entered.

    Your Couple Status will change to PENDING until your partner identifies you as their partner. Once your partner identifies you as their partner, your Couple Status will change to COUPLED.

    If your partner does not identify you as their partner, your rankings will be treated as if you are an individual applicant in the Match.

    Note: If you participate in Phase I of the Match as a member of a couple and you do not obtain a position in Phase I, your Couple Status will be changed back automatically to INDIVIDUAL for Phase II. If you wish to participate in Phase II as a member of a couple, you will have to change your Couple Status for Phase II after the system opens for Phase II.

  • Rankings

    The Rankings section of the Dashboard provides a summary of your Rank Order List information. The summary information shows the number of ranks on your Rank Order List and whether or not your Rank Order List is certified for use in the Match.

    • Select the Edit button to access your Rank Order List, view your rankings, make changes or certify your list.

Account

You can change your e-mail, password and security questions in the Account section, which is accessed by selecting the appropriate option from the menu.

Applicants who are eligible to participate in Phase II (i.e., registered but not matched in Phase I) will be able to update their information if necessary after the system re-opens for Phase II.

Ensure the e-mail address used for your account is valid as all Match communications, including your Match result, will be sent to that e-mail address.

  • Change Account Information
    • Select the Edit button next to the information you want to change.
    • Update information, and press the Save button.

    Detailed instructions about the content to be entered into each field can be found by pressing the tooltip icon (?) next to the field name.

If you change your e-mail or password, you will have to use the new values the next time you log in to the NMS Match System.

Profile

Your Profile information is accessed by selecting the appropriate option from the menu, and includes your name, mailing address, telephone number(s), day of birth, doctoral program (school or university, program type, degree), your Director of Clinical Training, and whether or not you are a respecialization student.

Applicants who are eligible to participate in Phase II (i.e., registered but not matched in Phase I) will be able to update their information if necessary after the system re-opens for Phase II.

  • Change Profile Information
    • Select the Edit button next to the information you want to change.
    • Update information, and press the Save button.

    Detailed instructions about the content to be entered into each field can be found by pressing the tooltip icon (?) next to the field name.

Ensure your doctoral program is identified correctly in the system, as your Match result will be provided to the DCT of your doctoral program.

You should also ensure that phone number(s) are on file where you can be reached during the period from submission of your Rank Order List until release of the Match results in case questions arise regarding your Rank Order List.

You will not be able to access the NMS Match System to enter or certify your Rank Order List after the Phase II Rank Order List deadline. You are strongly advised to enter and certify your Rank Order List well before the Rank Order List deadline to avoid potential system access problems near the deadline.


Enter, Update and Print Your Rank Order List

To enter ranks into your Rank Order List for the Match, select the Rankings option from the menu in the NMS Match System, or select Edit in the Rankings section of the Dashboard.

  • Add a Program
    • Start typing in the search box to find the program you want to rank. Programs can be searched by Code Number, training site name, Training Director name, program description or city.
    • Use the available Filter to restrict your search results to a specific state or province.
    • Programs that are withdrawn from the Match will have a Withdrawn flag next to their program name. If a program you intended to rank is shown as withdrawn, you should leave the withdrawn program ranked on your list. If it becomes active again before the Rank Order List deadline, that ranking will be used in the Match. If the program remains withdrawn, that ranking will not be used in the Match, and your list will be processed as if you had not ranked the withdrawn program.
    • Select the Program you want to rank from the search results. Since the match processing is based on the program Code Numbers, make sure the 6-digit Code Number shown for the program you select correctly identifies the program you wish to rank.
    • Press the Add to List button to add the program to your list. Programs should be entered in rank number sequence, with your most preferred program as rank 1, your next most preferred as rank 2, and so on. You may add as many programs as you wish to your list.

  • Delete a Program
    • Press the 'X' next to the program name to delete it from your list.

  • Reorder a Program on Your List
    • To move or re-order a rank, use the drop-down menu attached to the rank number. Select the number where you want the program to be ranked.

  • Print Your Rank Order List

    You should print a copy of your final certified Rank Order List for your records.

    • Click on the Printer-Friendly link (provided at the top or bottom of your Rank Order List) and then use the print function of your browser.

    You will be able to view the printer-friendly copy of your Rank Order List until 3 days after the Match Results are released for each Phase of the Match.

Certify Rankings

Certifying your Rank Order List tells NMS that your rankings are complete and ready to be used in the Match. You must certify your Rank Order List in order for it to be used in the Match.

You can make changes to your list even after it is certified. If you make changes to a list after it is certified, the list will become uncertified and you will have to re-certify the list in order for it to be used in the Match.

  • To certify your Rank Order List
    • Press the Submit for Certification button at the bottom of your Rank Order List, once you have added all your programs and they are in the desired order of preference.
    • The NMS Match System will alert you if any issues or problems exist in your Rank Order List and prompt you to certify your list by re-entering your password and pressing Submit.

    There are three ways to verify that the list has been certified:

    • In the Rankings section of your Dashboard, it will indicate that the Rank Order List has been certified

    • A green banner will be displayed at the top of the Rankings page

    • You will be sent an e-mail from {[param.NMSshort]} confirming the certification

Your Rank Order List must be certified by 11:59 p.m. ET on the Rank Order List deadline for each Phase of the Match in which you intend to participate. You will not be able to certify your Rank Order List in the NMS Match System after the Rank Order List deadline.

You are strongly encouraged to enter and certify your Rank Order List well before the deadline date to avoid potential system access problems near the deadline.

System Requirements

The online NMS Match System is designed to be used with the security and features of modern web browsers.

  • System Requirements

    We recommend using the most up to date version of one of the following browsers:

    If you access the system with a browser that is not in the list above, or with a browser that is significantly out of date, you may see warning messages and experience problems.

    You must have JavaScript enabled and accept cookies in order for the NMS Match System to function correctly.
