Applications & Interviews

Applications

  • How do I get applications?

Registered residencies access applications through the ORMatch Application Service, which is a component for the NMS Match System. All ORMatch applications are submitted through the ORMatch Application Service.

  • What is included in the ORMatch application?

The standard ORMatch application includes a form of applicant information, NBEO Part I score, CV, OD Transcript, Letter of Intent, and 3 reference letters. While other NBEO examination scores are not required for application submission, applicants are encouraged to provide them as soon as they are available.

If your residency has additional application requirements, please ensure they are listed in the ASCO Residency Directory so applicants can include them as Supplemental Material in their application.

  • What is a PENDING application?

An application is PENDING if the applicant has selected your residency site in the ORMatch Application Service but has not yet submitted their application information to your residency.

You have access to the contact information for PENDING applications so you can reach out to the applicant to introduce yourself and provide more information about your residency site, if desired.

  • Why can't I see applicant documents or scores for a PENDING application?

You cannot see the details of a PENDING application because the applicant has not yet chosen to submit their application to your residency. Applicants who add your residency as a PENDING application may remove your residency at a later date.

The purpose of showing you the PENDING application is to give you visibility into who is considering sending an application to your residency. You have access to the contact information for PENDING applications so you can reach out to the applicant to introduce yourself and provide more information about your residency, if desired.

  • Can applications be submitted before reference letters are received?

Yes, applicants do not need to wait for their reference letters to be received before submitting their applications. When a reference writer uploads their letter, the submitted application will be updated automatically and the you will be notified that one of your applications has a new reference letter included.

  • Can applicants change or update an application after submission?

Applicants cannot change the core application components after submission. However, they are able to attach a supplemental material document to a submitted application, or replace an existing supplemental material document with a new one.

If you need an applicant to provide additional information after submission, instruct them to provide the necessary information as a Supplemental Material document.

Interviews

  • Can I tell an applicant that our program will rank them?

According to the rules of ORMatch, residencies and applicants may express a high level of interest in each other and may freely discuss any matter that does not include ranking information.

You may voluntarily inform an applicant whether or not you intend to rank them, and the applicant may voluntarily inform you whether or not they intend to rank your residency. However, neither you nor the applicant may solicit such information.

Furthermore, neither you nor the applicant may solicit or disclose any information regarding the positioning of any choice on a Rank Order List. For example, you cannot say "You are my first choice" or "You are one of our top-3 candidates".
