Things to Know
- You must register for the MedPhys Match in order to send applications to programs.
- Check with each program about its application requirements.
- All core application materials are submitted online using the Application Service.
- The Application Service closes on March 20, 2026. The Application Service will re-open for the Post-Match Process on March 27, 2026, to enable registered applicants who did not obtain a position to send additional applications.
Application Overview
Access
You must be registered for the MedPhys Match to send applications to programs that are participating in MedPhys Match.
Timing
Each program sets its own application deadline date and requirements. You must submit you application by 11:59 p.m. Eastern Time on the deadline date specified by the program. Once that deadline has passed, you cannot apply to that program.
The Application Service closes on the Rank Order List deadline. No applications can be submitted through the NMS Match System after that point, even if a program's posted application deadline is later. Programs require a significant amount of time to review and evaluate your application before making their interview and ranking decision. Therefore, you should submit your applications as soon possible, and well before the Rank Order List deadline.
Applicants who do not obtain a position in the Matching Process will have an opportunity to apply to programs with unfilled positions during the Post-Match Process, which begins on March 27, 2026. New applicants may also register at that time.

Research Programs of Interest
The List of Participating Programs identifies all Medical Physics programs that are registered for the MedPhys Match.
Tip: As soon as you find a program of interest, add the program to your list of pending applications in the NMS Match System. The Program Director will be notified of your interest and will have access to your contact information, even before you submit your application, so they can reach out to you with information about their program, if they choose to do so.

Prepare Your Application Materials
Gather Your Applicant Information
Some of your MedPhys Match registration information is prepopulated into your application. Other information that is required to complete your application includes: your US and Canadian work status, educational history, employment information, ABR Part I and CCPM status, and disclosure of professional and academic liability information.
Documents that you should expect to upload as part of your application include:
- Transcript for undergraduate coursework
- Transcript for CAMPEP related coursework
- GEPRC document for non-accredited coursework, if applicable
- TOEFL score report, if applicable
Compose a Personal Statement and CV
A Personal Statement and CV must be included in each application you submit. You should start working on those documents as soon as possible and upload them to the NMS Match System in PDF format when they are complete.
Reach Out To Your Reference Letter Writers
Each application must have 2 letters of reference. You can add a 3rd letter of reference if desired. Some reference writers may want to customize their letters for each program where you apply. You should contact your reference writers to discuss how many letters they will write for you. Requests for individual reference letters are made using the NMS Match System, and your references will upload their letters directly to the NMS Match System.
Prepare any Supplemental Material
Check with each program as soon as possible regarding its application requirements. If a program requires additional information included as part of its application, you can prepare this information and upload it to the system as a Supplemental Material PDF document.

Submit an Application
Your MedPhys Match registration fee provides you with 5 credits to send applications to residencies. Each credit allows you to send one application to one residency, regardless of the number of programs or tracks offered by that residency. If a residency offers more than one track in the MedPhys Match, you can specify the tracks you are interested in when you submit your application.
If you want to send applications to more than 5 residencies, you will have to pay an additional fee of $15 USD per application.
You do not need to send all applications at once. You can send 1 application on one day and 5 applications the next day. However, once an application is submitted to a residency, the core components of the submitted application cannot be changed or withdrawn. You will be able to update Supplemental Material after an application has been submitted, so any corrections to application information can be included as Supplemental Material.
Once you submit an application, the Program Director will have access to your application information immediately.
It is your responsibility to monitor the status of any outstanding reference letters and ensure they are submitted in the NMS Match System by the residency's deadline.
Applying to Non-Match Residencies
While it is expected that most residencies will participate in the MedPhys Match, some residencies may choose not to participate.
If you apply to both participating and non-participating residencies, you will have to decide prior to the Rank Order List deadline whether to accept a position outside of the MedPhys Match or to participate in the MedPhys Match. Only residencies that are participating in the MedPhys Match can be included on your Rank Order List.
If you accept a position at a residency that is not participating in the MedPhys Match, you must withdraw from the MedPhys Match.
If you certify a Rank Order List and do not withdraw prior to the Rank Order List deadline, your rankings will be used in the matching process. If you are matched to a residencies, you must accept the position with which you are matched. If you refuse to accept the MedPhys Match result, your actions may be reported to the AAPM and penalties may be imposed as outlined in the Applicant Agreement.
