Add/Manage Secondary Contacts
DCTs can add and remove new secondary users who will have access to their academic program's information in the Extern Match Portal.
A secondary user can view, manage, and change all academic program information, however they are not allowed to create or manage other users. They will also be copied on relevant automated emails (e.g., reminders, results etc.) sent to the DCT from the Extern Match Portal.
Add Users:
- Select the Account option from the Extern Match Portal menu
- Select the Manage Users button in the Users section of the Account page
- Select the Add New User button.
- Provide the person's name, phone number, and email address

If the user already has an account in the Extern Match Portal, your academic program will be added to their list of options when they log into their account.

If you remove a secondary user, they will no longer have access to your academic program in the Extern Match Portal and will not receive any communications about your academic program from the Extern Match Portal.

View the List of Registered Students
To view the list of your registered students, select the View button from the List of Students section of the Dashboard, or click on the Students option from the menu.
The Registered Students list provides an overview of each Student's progress, showing key metrics in columns:
- Name: The full name provided by the student and their identifying Match Code Number.
- Status: All students participating in the Extern Match have a status of Active. If a student withdraws from the Extern Match because they are no longer pursuing a position, they will have a status of Withdrawn. Students can change their participation status at any time up until the Rank Order List deadline.
- Year: This is the number of years the student has been in the academic program, as specified by the student.
- Applications: The total number of submitted applications.
- Interviews: The total number of sites where the student has scheduled interviews.
- Ranks: Indicates the certification status of the Rank Order List and the number of rankings (e.g., N/3 means the student has an uncertified Rank Order List with 3 rankings). Rank Order Lists must be certified to be used in the matching process.
- View: Select this button to access the detailed profile for the Student.
-
View Detailed Student Information
To open the Profile page for a Student, select the View button for that student in the List of Your Students.
On the Student Profile page, there are sections that show detailed information for Applications, Interviews, and Rankings for that student.
Applications
The Applications section lists the sites where the student has submitted an application. Each entry shows the Site Code and Name. Use the View link on the right to see the contents of the application and the Download link to save the PDF file.
Interviews
The Interviews section tracks interview progress by separating offers from scheduled events:
- Sites Scheduled: Lists sites where the student has scheduled an interview.
- Sites Offered, yet not scheduled: Lists sites that have extended an interview invitation to the student, but the student has not yet scheduled a date.
Ranks
The Rank Order List section shows the list of preferred sites the student has entered for the matching process, along with the list's certification status. The Rank Order List must be certified to be used in the matching process.
Some PENDELDOT sites offer part-time positions (8 or fewer hours per week). To satisfy the full training requirement in the Extern Match Guidelines, students seeking these positions will try to be placed into two part-time positions.
Dual Position applicants submit two Rank Order Lists that work together to represent pairs of positions. The matching process will place the student into the most preferred available pair shown across the two lists. Students may rank both full-time options and pairs of part-time positions. Full-time positions are paired with a "99999-NO MATCH" choice because they do not require a second placement, while part-time positions must form a complete placement and can therefore be paired with another part-time position or a "99999-NO MATCH" choice if the student is open to only one part-time role.
Both of the student’s lists must be certified in order to be used in the matching process. If only one list is certified, neither list will be used.
