Registration

  • When is the registration deadline?

    It is recommended that you register your residency to participate in the ASHP Match by September 8, 2023, although registrations can be accepted after that date. You should register as soon as possible so your program can be added to the List of Participating Programs, set up in PhORCAS, and applicants will know that your residency is participating in the ASHP Match.

    The final deadline to register to participate in Phase I of the Match is March 1, 2024. The final deadline to register for Phase II of the Match is April 3, 2024. However, it take a significant amount of time to collect and review applications, conduct interviews, and evaluate applicants so you should register well before the final deadlines in order to properly participate in the process.

  • How do I add a new program?

    For residencies not yet registered to participate in the Match:

    • Access the online registration system using the link provided in the registration email sent to the residency by NMS, or Log in to the NMS Match System if you have already created an account in the NMS Match System
    • Select the Add New Program link at the bottom of the program information section of the Residency and Program Information page
    • Enter the number of positions to be offered in the program and a program description
    • Select the Add button

    Adding a Program in Phase II

    To add a program into Phase II, you must email a letter to NMS on your residency's letterhead and signed by the Program Director, indicating the description of the program and the number of positions to be offered in the Match. The request must be received at NMS by 5:00 p.m. Eastern Time on April 3, 2024. Please note: programs added into Phase II close to the Rank Order List deadline are unlikely to be ranked by applicants.


    For residencies already registered to participate in the Match:

    • Log in to the NMS Match System
    • Select Account from the menu
    • Select the Add Program button at the bottom of the page
    • Enter the number of positions to be offered in the program and a program description
    • Select the Add this Program button

  • What Are the Guidelines for Choosing Program Descriptions

    Each program offered by a residency is identified in the NMS Match System and PhORCAS by the residency display name and a program description. ASHP has developed a set of guidelines for determining an appropriate program description for each program.

    General Guidelines:

    • All program descriptions must start with the residency type under which the program is or will be accredited (e.g., PGY1, PGY1&2-Health Systems Admin & Leadership/Masters, PGY2-Ambulatory Care, etc.). For most programs, the program description will consist of only the program type.
    • Information that describes the program, such as setting, location, emphasis areas, or characteristics, should be provided in the ASHP Directory.
    • Program descriptions may have an additional label added after the program type only if necessary to ensure that the combination of residency display name and program description uniquely identifies each program to applicants in the Match and PhORCAS. Acceptable program descriptions and labels are described at the link to the Guidelines below.
    • Program descriptions in the NMS Match System (including any label) are limited to 50 characters.

Account & Login

  • What login credentials do I use?

    Log into the NMS Match System using the email address and password that you established when you registered your residency to participate in the 2024 Match. Log in credentials are not carried over from previous years.

    If you have changed your email or password in the NMS Match System since registering, use those values to log in.

  • What do I need to do as a new Program Director?

    For residencies not yet registered to participate in the Match:

    If you cannot access the registration email, contact NMS to request that we send you an email with access to the online registration system for your residency. You will need to provide a signed, written request to NMS on residency letterhead with the following information:

    • Name of Program Director
    • Email address of Program Director
    • Name of Residency

    For residencies already registered to participate in the Match:

    You will need to obtain access to the NMS Match System for this residency. If you can obtain the NMS Match System login credentials from the previous Program Director, you should log into the NMS Match System using those login credentials and update the Account and Profile information for your residency.

    If you cannot obtain the login credentials from the previous Program Director, please contact NMS. You will have to submit a signed, written request on residency letterhead notifying NMS of the change in Program Director and asking for the login credentials to be reset.

Early Commitment Process

  • How do I pay my outstanding Early Commitment Invoice?

    Your program must pay a non-refundable fee of $160 USD for each PGY2 position filled by a resident through the Early Commitment Process. An invoice is generated when your program makes an offer through the NMS Match System. If you make additional offers, an updated invoice is generated.

    You can obtain an up-to-date invoice for your program in the following ways:

    • At the time of submitting an Early Commitment offer, either by email or download
    • In your Account section, accessible from the main dashboard in the NMS Match System
    • From a link at the bottom of your Early Commitment offer page.

    Invoices can be paid by credit card or check. Because of recent postal delays and our accounting department working remotely, we would strongly prefer that programs pay their invoices by credit card online.

    Invoices can be paid online by VISA or Master Card using the button below. You can also access online payment by selecting the online payment button in the invoice, or in the Account section for your program in the NMS Match System. You will need your Invoice Number and amount owed.

Withdraw

  • What are the implications of withdrawing?

    A withdrawn program will not be included in the matching process, will not be matched with any applicants, and will not be included on the list of programs with available positions that is posted for unmatched applicants after each Phase of the Match. Any rankings or reversions that may have been submitted for the program will not be used in the Match.

    Programs that certify a Rank Order List and do not withdraw by the Rank Order List deadline will be included in the Match and will be obligated to accept the results.
