Applicant NMS Match System Guide

The 2018 ASHP Match


Log In

  • Access the Online NMS Match System

    You can access the NMS Match System by selecting the Log In option in the menu button in the top-right corner of the screen.

    To log in to the NMS Match System you will need to use the same e-mail address and password that you use on the shared PhORCAS/Match web site.

    Passwords are transferred from PhORCAS to the NMS Match System nightly (not in real-time), so a password changed on the PhORCAS/Match web site will be effective in the NMS Match System the next day. PhORCAS limits passwords transferred to NMS to a maximum of 10 characters. If you have a long password, enter only the first 10 characters into the NMS Match System.

  • Forgot Password?

    If you do not know your password, please access the shared PhORCAS/Match web site where you registered for the Match and use the Forgot Your Password? link to request that an e-mail be sent to you with your password.


Dashboard

After you log into the NMS Match System you are presented with a Dashboard. The Dashboard shows your current participation Status in the Match, your Couple Status, and Rankings Status.

  • Change Your Participation Status

    The Status section shows your participation status in the Match.

    If you will not be submitting any rankings of programs for any reason, you must withdraw from the Match prior to the Rank Order List deadline. If you withdraw but later decide to submit a Rank Order List for the Match, you should reinstate yourself to participate in the Match prior to the Rank Order List deadline.

    To withdraw from the Match:

    • Select the Edit button in the Status section of the Dashboard.
    • Select a reason for withdrawing. The reason you select will indicate if you are withdrawing from Phase I only (and you plan to participate in Phase II), or if you want to withdraw from both Phase I and Phase II (and your status will be set to Withdrawn for both Phase I and Phase II).
    • Enter your password and press Submit.

    To reinstate in the Match:

    • Select the Edit button in the Status section of the Dashboard.
    • Enter your password and press Submit.

    Note: If you withdraw from both Phase I and Phase II of the Match prior to the Phase I Rank Order List deadline, you will be automatically withdrawn from Phase II and will not need to withdraw again when the system opens for Phase II (you may reinstate yourself for Phase II if you wish to submit ranks for Phase II).

    If you withdraw only from Phase I prior to the Phase I Rank Order List deadline, you will be automatically reinstated for Phase II, and must either submit a Rank Order List for Phase II or withdraw again for Phase II if you do not intend to submit any rankings for Phase II.

  • Couple Status

    All registered applicants start with a Couple Status of INDIVIDUAL. If you want to participate in the Match as part of a couple, you must change your Couple Status to COUPLED by identifying your partner.

    • Select the Edit button in the Couple Status section of the Dashboard.
    • Enter your partner's Match Code Number and press Submit.
    • You will then be asked to confirm that you wish to be partnered with the applicant registered with the Match Code Number that you have entered.

    Your Couple Status will change to PENDING until your partner identifies you as their partner. Once your partner identifies you as their partner, your Couple Status will change to COUPLED.

    If your partner does not identify you as their partner, your rankings will be treated as if you are an individual applicant in the Match.

    Note: If you participate in Phase I of the Match as a member of a couple and you do not obtain a position in Phase I, your Couple Status will be changed back automatically to INDIVIDUAL for Phase II. If you wish to participate in Phase II as a member of a couple, you will have to change your Couple Status for Phase II in the NMS Match System, after the system opens for Phase II.

  • Rankings

    The Rankings section of the Dashboard provides a summary of your Rank Order List information. The summary information shows the number of ranks on your Rank Order List and whether or not your Rank Order List is certified for use in the Match.

    • Select the Edit button to access your Rank Order List, view your rankings, make changes or certify your list.

Account and Profile

Your Account and Profile information includes your name, e-mail address, password, mailing address, telephone number(s), school, graduation date, and last 4 digits of your SSN.

Your Account and Profile information is transferred to NMS by PhORCAS and it cannot be changed using the NMS Match System.

  • Change Account and Profile Information

    You can update your Account and Profile information if necessary by making the appropriate changes in the PhORCAS/Match portal. Changes you make in that portal will be reflected in the NMS Match System within 24 hours, not in real-time.

    The last day you can update your Account and Profile information for Phase I of the Match is March 5, 2018. The PhORCAS system will then close and re-open for applicants participating in Phase II of the Match on March 20, 2018. The last day you can update your Account and Profile information for Phase II of the Match is April 4, 2018.

You will not be able to access the NMS Match System to enter, change or certify your Rank Order List after the Rank Order List deadline indicated above for each Phase of the Match.

You are strongly advised to enter your rankings and certify your Rank Order List well before the Rank Order List deadline to avoid potential system access problems near the deadline.


Enter, Update and Print Your Rank Order List

  • Add a Program
    • Start typing in the search box to find the program you want to rank. Programs can be searched by Code Number, residency name, Program Director name, program description or location.
    • Use the available Filters to restrict your search results to a specific program type and/or state.
    • Programs that are withdrawn from the Match will have a Withdrawn flag next to their program name. You should leave the withdrawn program ranked on your list. If it becomes active again before the Rank Order List deadline, that ranking will be used in the Match. If the program remains withdrawn, that ranking will not be used in the Match, and your list will be processed as if you had not ranked the withdrawn program.
    • Select the Program from the list of search results.
    • Press the Add to List button to add the program to your list. Programs should be entered in rank number sequence, with your most preferred program entered first as rank 1, your second most preferred program entered next as rank 2, and so on. You may add as many programs as you wish to your list.

  • Delete a Program
    • Press the 'X' next to the program name to delete it from your list.

  • Reorder a Program on Your List
    • To move or re-order a rank, use the drop-down menu attached to the rank number. Select the number where you want the program to be ranked.

  • Print Your Rank Order List

    You should print a copy of your final certified Rank Order List for your records.

    • Click on the Printer-Friendly link (provided at the top or bottom of your Rank Order List) and then use the print function of your browser.

    You will be able to view the printer-friendly copy of your Rank Order List until the day after the Match Results are released for each Phase of the Match.


Certify Rankings

Certifying your Rank Order List tells NMS that your rankings are complete and ready to be used in the Match. You must certify your Rank Order List in order for it to be used in the Match.

You can make changes to your list even after it is certified, until the Rank Order List deadline If you make changes to a list after it is certified, the list will become uncertified and you will have to re-certify the list prior to the deadline in order for it to be used in the Match.

  • Certify Your Rank Order List
      • Press the Submit for Certification button at the bottom of your Rank Order List, once you have added all your programs and they are in the desired order of preference.
      • The NMS Match System will alert you if any issues or problems exist in your Rank Order List and prompt you to certify your list by re-entering your password and pressing Submit.

      There are three ways to verify that the list has been certified:

      • A green banner will be displayed at the top of the Rankings page

      • In the Rankings section of your Dashboard, it will indicate that the Rank Order List has been certified

      • You will be sent an e-mail from NMS confirming your Rank Order List is certified

      Do not call NMS to confirm that your Rank Order List has been certified.

Your Rank Order List must be certified by 11:59 p.m. ET on the Rank Order List deadline for each Phase of the Match in which you intend to participate. You will not be able to certify your Rank Order List in the NMS Match System after the Rank Order List deadline.

You are strongly encouraged to enter and certify your Rank Order List well before the deadline date to avoid potential system access problems near the deadline.


System Requirements

The online NMS Match System is designed to be used with the security and features of modern web browsers.

  • Recommended Browsers

    We recommend using the most up to date version of one of the following browsers:

    If you access the system with a browser that is not in the list above, or with a browser that is significantly out of date, you may see warning messages and experience problems.

    You must have JavaScript enabled and accept cookies in order for the NMS Match System to function correctly.
